About the Role
Provide comprehensive facilities management for several sites including managing service contracts, related budgets and tenant liaison to facilitate works.
Key Responsibilities
Risk Management
- Ensure the agreed risk management plan is implemented to meet internal and client KPI expectations
- Ensure all staff and contractors are inducted and receive up-to-date site-specific training
- Manage operational output for the property
- Investigate and report on accidents and incidents on the property
- Make recommendations on remedial work to prevent similar occurrences
- Be alert to any action, incident or equipment failure that may contribute to public accidents and take action to remedy as soon as possible
Compliance
- Develop, maintain, and review a Compliance Plan which includes a list of compliance requirements, their frequency and verification method
Capital Works
- In conjunction with specialists, scope, implement and complete client Capital Works
Sustainability
- Pursue sustainability options at various sites and make appropriate recommendations to the client
Workplace Health and Safety
- Ensure all operations and maintenance conform with legislation in all instances
Security
- Supervise the Security contractor and ensure the centre is a safe environment for customers, contractors and staff
- Be aware of unacceptable behaviour by persons in the centre and work to reduce incidents
Cleaning
- Supervise cleaning staff to maintain standards required by the Client
- Conduct daily inspections of all areas and weekly inspections with the contractor representative
- Provide written notice of rectification as required
Maintenance
- Ensure the centre's various systems, plant and equipment, surface finishes, structure and surrounds are correctly serviced to manufacturer's specifications
- Carry out minor maintenance tasks and cleaning tasks as required
Preventative Maintenance
- Prepare specifications and preventative maintenance schedules for a rolling twelve-month plan to ensure all areas are maintained to the highest standards
Budgets
- Actively contribute to the budgeting and business planning process for the properties
- Ensure services purchased are within budgeted costs
- Make the Centre manager aware of deviations prior to commitment
Reporting
- Prepare monthly and quarterly summaries of the performance of each asset
- Prepare monthly reforecasts of budgeted figures
Management of Contractors
- Ensure all contractors satisfy insurance requirements as required under the company's Public Liability Policy
- Ensure all contractor work conforms with Work Safe procedures and legislation
Tender of Contracts
- In consultation with the Centre Manager, periodically develop, review and tender scopes of work for services
- Raise formal Agreements for client execution
- Maintain contracts in tenure to minimum benchmark required of Management Agreement
Tenancy Fitouts
- Assist the Centre manager and Fitout Coordinator in the control and co-ordination of tenancy fitout works and landlords works in accordance with the fit-out guide
Procurement
- Procure services to ensure all technical, risk and statutory requirements are satisfied and within budget
- Respond to tenant requests
Additional Duties
- As may be required by the Portfolio Manager, assist in engineering management aspects including reviews of each site in consultation with EH&S specialists to ensure correct and safe work practices
- Ability to travel to various sites within portfolio, as may be required, whether located in the metropolitan area or regionally
- Undertake such other duties as may be required/directed within reason
Required Experience and Skills
- Proven experience in all aspects of risk and compliance management
- Proven experience in the supervision of the broad spectrum of building services with emphasis on property assets and their systems including fire systems, electrical, mechanical, and building intelligence
- Experience in supervising contractors
- Excellent written and oral communication skills
- Risk and compliance management in a related industry
- Leadership skills with demonstrated ability to lead a team
- People driven and able to be seen to be "kicking goals" for the clients
- Ability to follow asset management policies and procedures
- Outstanding interpersonal and negotiation skills
- Good level of financial aptitude and computer literacy, with the ability to expand these skills as necessary
- Good report writing and time management skills
- Facility, Building Services or Maintenance Management experience
- Contract and contractor supervision and negotiation
- Financial management, budget preparation and development
- Strongly goal-oriented – able to focus on meeting all performance targets
- Team player – able to cooperate and work well with others to meet targets
- Previous experience in the management of the broad spectrum of building services with emphasis on managing retail assets and their systems
- Excellent computer skills (proficient in Word and Excel)
- Degree in Property, Facilities Management or related discipline is highly desirable
